This Privacy Policy explains how FM360s ("the App," "we," "us," or "our"), a facility management platform developed by Technolca, collects, uses, and protects information when you use our mobile application and web platform. FM360s is a business-to-business (B2B) software tool provided to organizations for use by their employees and authorized personnel.

1. Information We Collect

We collect the following categories of information:

• Account Information: Name, email address, phone number, job title, department, and employee ID, as provided by you or your employer during account setup.
• Operational Data: Information you enter while using the App, including maintenance requests, breakdown reports, asset records, inventory data, attendance records, leave requests, and financial/accounting entries related to your employer's operations.
• Device & Push Notification Data: A device token used to deliver push notifications (via Firebase Cloud Messaging), and basic device information (platform type) needed to send those notifications correctly.
• Uploaded Files: Documents, photos, and attachments you upload in connection with assets, requests, or breakdowns.
• Usage Data: Basic technical logs (timestamps, request types) used for security, debugging, and service reliability.

We do not collect precise location data, and we do not access your device's contacts, camera roll (beyond files you explicitly choose to upload), or microphone.

2. How We Use Your Information

• To provide and operate the core features of the App (asset tracking, breakdown reporting, maintenance scheduling, inventory, accounting, and reporting).
• To send you push notifications and email alerts related to work assigned to you (e.g., a breakdown assigned to a technician).
• To generate AI-assisted suggestions (see Section 3 below).
• To maintain the security, integrity, and reliability of the platform.
• To communicate with you about service updates, when necessary.

3. AI Features

FM360s includes optional AI-powered features — a "Smart Breakdown Diagnosis" tool and an "AI Assistant" chat — powered by Google's Gemini API. When you use these features, the text you enter (such as a breakdown description or a question) is sent to Google's Gemini service to generate a response. We do not send your account password, financial data, or any information beyond what is necessary to answer your specific query. These features are only triggered when you actively choose to use them — they do not run automatically in the background.

4. Data Isolation Between Companies

FM360s is a multi-tenant platform. Each customer company's data is stored in a separate, isolated database. Your employer's data is never mixed with, or accessible to, any other company using the platform.

5. Third-Party Service Providers

We use the following third-party services to operate the App:

• Google Firebase — for push notification delivery.
• Google Gemini API — for optional AI-assisted features, as described in Section 3.
• Our hosting provider — for secure storage of application data on servers located in accordance with our hosting agreements.

These providers process data on our behalf and are contractually and technically restricted from using it for their own purposes.

6. Data Retention

We retain your information for as long as your employer's account with FM360s remains active, or as required to comply with legal obligations, resolve disputes, and enforce our agreements. If your employer terminates their subscription, data may be retained for a limited period before deletion, in accordance with our data retention procedures.

7. Your Rights

Depending on your location and applicable law, you may have the right to request access to, correction of, or deletion of your personal data. Because FM360s is provided to you through your employer, such requests are typically coordinated with your employer's system administrator. You may also contact us directly using the details below, and we will work with your employer as needed to fulfill your request.

8. Data Security

We implement industry-standard security measures, including encrypted connections (HTTPS/TLS), access-controlled databases, rate-limiting on authentication endpoints, and session token expiration, to protect your information from unauthorized access, alteration, or disclosure.

9. Children's Privacy

FM360s is a business tool intended for use by working adults in an employment context. It is not directed at, and we do not knowingly collect information from, children under 16.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will post the updated policy on this page with a revised "Last Updated" date.
